Agent Resources: Best Practices & FAQ's

Welcome to our partnership! To ensure your transactions close smoothly and efficiently, we’ve compiled our standard operating procedures and answers to our most common questions.

What do you need from me during onboarding? 

To prevent delays, please complete your onboarding login information as soon as it is sent to you. Having this on file allows us to jump straight into your first submission the moment it arrives.


How do I submit a new file? 

All new Listings and Contracts must be submitted through our Online Intake Form. This ensures we have all the data we need to begin working on your file immediately, without back-and-forth delays.


What contact information is required? 

Please provide full contact details for your clients and any third parties (Attorney, Lender, etc.) not explicitly listed on the contract documents on our intake form. 


What is your turnaround time for new files?

We process files in the order they are received. You can expect your new contract or listing to be fully processed within 24 hours (usually sooner).

Note: Submissions received Friday, late afternoon or after hours will be processed the following Monday.

How should I keep you in the loop?

To ensure nothing is missed, please CC us on all communication you send regarding the transaction. This allows us to stay on top of every detail and advocate for your file effectively.


What is your primary method of communication?

To ensure accuracy and maintain a clear audit trail for every transaction, all requests must be sent via email. * The Paper Trail: Email allows our team to track every change, date, and detail in writing.

  • No Missed Details: Requests made via text, social media, or phone calls can easily be lost or forgotten during a busy day. Emailing us ensures your request is added to our active task list immediately.


Do you send wiring instructions to my clients?

For security and liability reasons, we do not send wiring instructions. Agents are responsible for providing their specific office’s wiring instructions to their clients for any Earnest Money submissions.


How do you help with Earnest Money?

We provide a "safety net" by sending a one-day reminder to the buyer that their Earnest Money is due. Once received, we will circulate the receipt to all parties for their records.


Do you handle inspection coordination?

No. Because inspections are highly time-sensitive and involve direct negotiation, agents are responsible for:

  • Scheduling inspections.
  • Negotiating inspection items.
  • Drafting the Amendment to Address Concerns.


Can you draft other amendments?

Yes! We are happy to draft any non-urgent amendments (e.g., closing date extensions, price improvements) during business hours that do not fall under the inspection/repair category.


What happens if a file terminates?

Once a file terminates, we stop work immediately.

  • Standard Termination: No charge. We will terminte the file in our system and delete the calendar dates.
  • Termination Package ($100): If you’d like us to handle the paperwork, this package includes drafting/sending the T&R for signatures, circulating it to all parties, and submitting the final documents to your office. If it is your listing we will switch the status back to active.


Please upload all listing-related documents—including listing agreements and disclosures—into our intake form or email them as soon as possible. Early submission allows us to organize attachments and prevent last-minute delays in MLS preparation.


Notify us immediately via email of any changes to the listing timeline, such as:

  • Rescheduled photo shoots
  • Changes to the Go-Live date
  • When the property goes Under Contract


Once the listing matrix is sent for review, please perform a verification of the listing sales price, information, photo order and uploaded documents. Reviewing your listing as soon as possible will allow us to get this live on all MLS platforms efficiently.
